Listing alerts are the email leg of a saved search: when a visitor saves a search on your BrokerFold site, the platform re-runs that exact search every day and emails them the new matches — from your site, linking back to your listing pages, with your follow-up process attached. The buyers who set up alerts are the ones actively in the market, and alerts are the reason they come back to your domain instead of a portal.

What lands in the inbox

Each alert email carries up to six listing cards — photo, price, beds and baths, address — every one linking to the listing detail page on your domain. The subject line names the count and the search (“3 new listings — Toronto · 2+ bed · under $900,000”), and the call-to-action rebuilds the visitor’s exact search, including a map view with the neighbourhood boundary restored when the search was drawn on a zone. Rental matches show monthly pricing; a search with more matches than the sample gets a “see all” button.

The mechanics on a live site

Alerts run against the same query engine as your live listings grid, so what gets emailed is exactly what the visitor would see on the site — same filters, same board scoping, same compliance rules. Two details matter more than they look:

  • Only complete listings alert. The platform’s completeness gate means a listing becomes alertable when it is actually visible — details, geocoding and photos all in place. Nobody gets emailed a card with no photo, and a listing that published slowly never slips through the crack between two alert windows.
  • Zone searches stay honest. A search saved on a neighbourhood boundary only alerts on listings provably inside that polygon. When a zone can’t be resolved, the system skips rather than spamming a whole city as “matches your area.”

There is no configuration burden on your side. Alerts are on by default for every saved search, the visitor manages them from their account page, and the cadence is capped so nobody is ever notified twice in a day for the same search.

What alerts feed in the CRM

Every alert recipient is a registered visitor on your site — which means a contact in your CRM with a visitor account linked to it. When an alert pulls them back, the return visit shows up as listing views on their contact timeline, and their saved searches sit on the person record so you can see precisely what they are hunting for before you call. An agent reading “saved: Leslieville · detached · under $1.4M, alerted yesterday, viewed 4 of 6 matches” is having a very different first conversation than one working a bare email address.

Sold-mode alerts deepen this. Because sold data rides the VOW gate, a sold-search alert subscriber is by definition a verified, terms-accepted registrant — the highest-intent segment a real estate website produces. The Ontario rules that make this possible are covered in showing sold prices in Ontario.

Why this beats portal alerts

Portal alert emails train your buyers to do their searching somewhere that sells your competitors’ ads next to your listings. Alerts from your own site compound in the opposite direction: every send reinforces your domain, every click lands on a page with your face and your lead capture, and every behaviour signal accrues to your CRM record, not a third party’s. The feature costs you nothing extra to run — it ships on every BrokerFold plan as part of the core listings stack.

Frequently asked questions

How often do listing alert emails go out?

About once a day per saved search, and only when there are actual new matches. A search with nothing new sends nothing — the visitor never gets an empty digest, and a no-match day never counts against them.

Can alerts include sold listings?

Yes, when the saved search is a sold-mode search and the visitor is a registered, signed-in VOW user on your site. Sold data can only leave the platform for verified registered visitors, which the alert system enforces automatically.
