Gmail sync
The BrokerFold Team — Product + Engineering

Gmail sync connects your Google account to BrokerFold CRM so the email half of your business stops living in a separate tool. You connect once with Google sign-in, and email to your leads runs through your own address — while the CRM keeps every message on the contact record where your pipeline, notes and site behaviour already live.
Connecting is Google’s flow, not ours
From the CRM you start the connection and land on Google’s standard authorization screen — the same consent page every reputable Google integration uses. There is no password to hand over and no mail-server settings to type. Approve, and you are returned to the CRM connected.
The security posture underneath is worth stating because most vendors don’t: the tokens Google issues are envelope-encrypted before storage — the platform refuses to write them in plaintext, by design, not by configuration. Revoking access is always in your hands, from either side: disconnect in the CRM or pull the grant in your Google account settings.
Email as it works day to day
Composing happens where the context is — on the person’s record. The CRM writes the timeline entry first and then sends, a small ordering decision with a real consequence: a provider hiccup can never produce an email that sent but was never logged, or a logged email that never sent. What your lead receives comes from you, as you; what your CRM keeps is the complete thread of the relationship.
Sending as yourself matters for deliverability and for tone. A reply
from you@gmail.com gets answered like a person; a reply from a
platform’s relay address gets treated like marketing. Automated
nurture sequences deliberately run on
the platform’s verified sending infrastructure with full CASL footers —
the two channels do different jobs, and the CRM keeps both on the same
record.
What Gmail sync feeds in the CRM
The payoff is a complete contact timeline. Email threads sit interleaved with the rest of the person’s story — the listings they viewed on your site, the searches they saved, the forms they submitted, your call notes. For a team, that shared history is the difference between coverage and chaos: anyone picking up a colleague’s lead reads the actual correspondence, not a summary of it.
Replies are signal, too. The nurture engine treats a real two-way conversation as the cue to pause automation — so your hand-written email doesn’t collide with a scheduled drip touch an hour later.
Setup effort is a fair question and the answer is minutes: one authorization, no server settings, nothing to maintain afterward. Disconnecting is equally clean — the CRM’s records stay, and your mailbox was never moved anywhere to begin with.
Part of the one-system argument
Gmail sync is a small feature that only pays off inside an integrated stack — which is the broader case made in should your website and CRM be one platform. When the website that captures the lead, the CRM that stores them, and the email channel you work them through share one record, nothing falls between systems. Connect Gmail once, and the tool you already live in becomes part of the CRM instead of a silo beside it.
Frequently asked questions
Does BrokerFold see or store my Google password?
Never. The connection uses Google's own sign-in (OAuth) — you authorize on Google's page and can revoke access from your Google account at any time. The tokens Google issues are envelope-encrypted before they ever touch the database.
Why email from the CRM instead of just using my inbox?
Because the record is the point. An email sent from the contact's page lands on their timeline next to their listing views, calls and notes — sent from a plain inbox, that context and that history live only in your mail archive where the rest of your team can't see it.
